• Have you determined the objectives of your event?
• Have you determined whether your event is intended to train, motivate, launch a product, initiative or programme, or provide information?
• Have you defined how long you want the event to run?
• Have you thought about whether spouses will be invited?

Getting Moving

• Have you been provided with a complete listing of venues and hotels?
• Have you a copy of the Conference Checklist?
• Are you aware of transport facilities?
• Do you know what places of interest and amenities are close to the venues you are considering?
• Does the venue have any references from previous events that you can check?
• Is there a good range of entertainment and social activities nearby?
• Is there a high standard of facilities at the venue to meet all your needs, and are there good catering and in-house services?
• Are you aware of any local events or public holidays that may interfere with your timetable?

The Next Steps

• A site inspection of the venue is recommended to ensure you are happy with your choice.
• Make sure you are absolutely certain of all the terms and conditions, restrictions and added costs at the venue before you book.

Bringing in the Professionals

• Do you have a comprehensive list of Professional Conference Organisers or Destination Management Companies?
• Make sure to ask organisers and event managers to list all the services they provide.
